ABOUT THE ROLE:

Provision of administrative and secretarial services to the Legal Team and the CI Executive in Guernsey under the day to day guidance and supervision of the Head of Executive Administrative Support.

KEY TASKS:

Type correspondence, legal documents, other documents and reports 
Create reports, documents, spreadsheets etc using computer software
Prepare legal documents for signature and arrange signatures
Administer filing and the opening, closing, storage and retrieval of client files (primarily electronically)
Prepare mail and enclosures for dispatch
Undertake all copying and scanning
Make appointments, arrange meetings and maintain diaries.  Book meeting rooms as necessary
Answer telephone calls, exchange information, handle calls or direct calls to appropriate person
Arrange business trips/travel
Process invoices and expense claims
Open/scan/file incoming mail
Attend to clients and provide support in a professional and friendly manner in keeping with the company’s standards for client care
Ensure the confidentiality of all the company's and clients' documentation and information
Undertake any specific training when required, and overall to have a responsibility towards self development
To provide support to other departments as overseen by the Head of Executive Administrative Support.
Good team spirit to ensure a continuing high standard of work within the section.
Ability to provide cover when partners are absent.
Helping others where necessary to ensure deadlines and targets are met and procedures adhered to.
Create and maintain a good working relationship amongst partners and clients alike.


REQUIREMENTS (Qualifications And Knowledge/Skills/Competencies):

OCR Level 2 and/or 3 Certificate/Diploma in Text Processing (Business Professional) – including text production, word processing, audio transcription.
RSA Examinations
Excellent audio and copy typing skills and speeds
Accurate and organised with excellent attention to detail
Confident and professional telephone manner.
Ability to prioritise and to work under pressure to achieve deadlines
Pro-active and a self starter
Flexible and adaptable
Good team player
Discretion with confidential information
Ability to communicate with staff at all levels
Sound knowledge Outlook, Word, Excel and Power Point programmes
