ANALYST, HUMAN RESOURCES SERVICE CENTRE (HRSC)
6 MONTH FIXED TERM CONTRACT  

The Human Resources department plays a critical role in managing the organization’s most important asset, its people. The HR Service Centre (“HRSC”) supports the organization globally, functioning as a “shared service” by working with other HR teams to execute our strategies and consistently provide quality service.

As a Human Resource Service Centre (HRSC) Analyst at Northern Trust, you will assist in the administration of various Human Resource services and programs supporting our EMEA region.  You will also interact with all levels of employees to answer HR questions and resolve issues while complying with company and legal policies. 

The EMEA HR Service Centre set up will be 1 Regional Manager, 2 Team Leaders, 1 Consultant, 2 Senior Analysts and 5 HRSC Analysts providing HR operational support with 1 Business Process Consultant providing process redesign and project management support. 

JOB RESPONSIBILITIES MAY INCLUDE, BUT ARE NOT LIMITED TO:

  1. Responds to questions and advises employees and managers on HR policies and processes, HR systems, employee data, and assists with data updates. Queries may come in via multiple channels (e.g., e-mail, phone, case management system).  Utilizes knowledge base, call tracking systems and/or third party resources to educate customers of the HR Services available to them.  Encourages self-service tools such as the HR Portal and other systems when appropriate. Escalates non-routine matters to appropriate subject matter experts. 
  2. Portrays a positive, professional, customer and delivery orientated image of the company.
  3. Provides continuous status updates, guidance, and information to customers, key stakeholders, and peers within the HR functional area team(s) to ensure case resolution. Provides feedback and recommends process improvements to management. 
  4. Processes HR Service Centre requests such as organization changes, compensation changes, leave requests, other data updates, etc.
  5. Ensures high-quality standards for all activities, initiatives, and tasks within the designated functional area(s) of responsibility. Adheres to all service level agreements (SLAs) established by the HR functional area(s)/team(s). Appropriately documents case details and relevant information in the case management system. 
  6. Ensures appropriate documentation is up-to-date and available for HR processes.
  7. Analyzes specific HR data as requested and creates formal or ad hoc reports. 
  8. May be responsible for training other HR Service Centre analysts. 
  9. Participates in User Acceptance testing of new systems or features of existing systems. 
The role specific responsibilities are varied and although they are assigned to one individual, they may be rotated or reassigned in order to balance the workload within the team.  Each Analyst is responsible for a selection of routine operational procedures covering various EMEA locations such as flexible working, official promotions, visa monitoring, international transfers, expats, HR departmental support, support to EMEA Head of HR, etc.  
SKILLS / EXPERIENCE
  • Graduate or equivalent
  • Previous experience in a HR/ Customer Service role desirable
  • Client focussed, both internal and external, with exceptional communication skills
  • Excellent analytical, administration and organisation skills with a focus on Continuous Improvement
  • Ability to work under own initiative, prioritise workload and retain oversight of all responsibilities in a high volume and fast-paced environment
  • Ability to identify potential risks and escalate as appropriate
  • Meticulous attention to detail
  • Intermediate Microsoft Office is essential – Excel and Word are critical
  • Experience of management reporting would be beneficial
  • PeopleSoft HR Information System experience preferred
